Job Description

The Business Administrator serves as the central administrative and operational support hub for the business unit, enabling leaders and crews to focus on execution, service delivery, and growth. They will work to reduce friction across systems, communication, and compliance while supporting scalability and financial accuracy.

• Assist with onboarding and offboarding paperwork
• Support payroll, timekeeping, and employee documentation
• Coordinate safety administration, including toolbox talks, certifications, and compliance tracking
• Act as a consistent point of contact for field staff to reduce confusion and administrative friction

• Support the Business Unit with daily administrative needs
• Maintain organized records, service documentation, contracts, and renewals
• Handle incoming calls to the main office line and communicate operational updates
• Coordinate meetings, trainings, and business events
• Act as a liaison between field staff, business leadership, and corporate teams
• Maintain and support operational systems (Aspire, Microsoft, Adobe, Sicunet Neptune, Azuga, Commander 4, B.Smart, AT&T phones)
• Keep templates, workflows, and data clean, consistent, and usable

• Assist with invoicing, billing, and documentation to support accurate cash flow
• Coordinate with accounting to resolve discrepancies
• Track vehicles, equipment, inventory, uniforms, and PPE
• Maintain safety and compliance records to reduce risk and support audits (ex: vehicle registrations)
• Support seasonal operations, including snow administration
